The workflow

Five steps, one case file.

Everything below is one record. Nothing is re-entered, and nothing depends on a paper form surviving the trip to the office.

  1. 01

    Staff writes the referral where it happened

    Open the class period, tap the student, choose the infraction, and dictate what happened. Time, room, staff ID, and device are attached automatically. The whole thing takes under a minute in the hallway.

  2. 02

    Witnesses and the student are heard

    Any staff member who saw it attaches a witness statement to the same case. In the office, the student gets their own screen to give their account before a consequence is assigned. Every statement is timestamped and separately attributed.

  3. 03

    The office investigates in one place

    A live queue shows every pending referral with severity, age, and what is still missing. Open a case and read every statement side by side, add investigative notes, and move the status as the picture fills in.

  4. 04

    Resolution and notification

    Assign the consequence, add a note for the family, and the guardian notification goes out with a timestamp. The action log is append-only, so what happened and when is not a matter of anyone's recollection.

  5. 05

    Export into your SIS

    Completed cases export in the behavior-record layout your student information system expects, so nobody retypes the same incident into Infinite Campus at the end of the day.

Urgent reporting

A red button on every screen for the events that cannot wait for a referral form: restraint, seclusion, elopement, and injury.

  • Opens pre-pointed at the student on screen, and the clock runs until it is filed
  • Restraint and seclusion each require their own report before urgent status can end
  • Corrections are appended, never edited, and a referral can be filed from the same incident

The structured way staff raise something that is not a behavior log and not a referral, so it stops living in hallway conversations.

Most missing documentation is not defiance, it is friction. A referral that takes forty seconds gets written. One that takes a paper form and a walk to the office does not.

Due process is built into the flow

The student statement step is part of the case, not a box someone remembers to check. The queue flags any case that is heading toward a consequence without one.

Because every referral is structured, you can see referral patterns by staff member, period, location, and student group without a records request and a spreadsheet weekend.
